This Privacy Policy explains how HousrAI, LLC (“HousrAI,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with HousrAI Vitals and the related websites, applications, and services we provide (together, the “Service”). It also describes the choices you have regarding that information. By accessing or using the Service, you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Service.

HousrAI Vitals is built for the affordable housing industry. Many of our customers are owners, developers, syndicators, lenders, housing finance agencies, and property managers who use the Service to monitor portfolio performance. This Policy applies to the personal information of the people who use the Service, such as account holders and their team members. It is separate from the contractual commitments we make to our business customers about the portfolio and operating data they entrust to us, which is described in our Terms of Service.

1. Information We Collect

We collect information in three ways: information you provide to us directly, information we collect automatically when you use the Service, and information we receive from third parties.

Information you provide directly:

  • Account and contact details, such as your name, email address, phone number, job title, company or organization name, and login credentials.
  • Portfolio and operating data, such as financial statements, rent rolls, deal documents, property and unit records, budgets, and other files you or your organization upload or connect for analysis.
  • Communications, including the questions, notes, comments, and messages you submit through the Service, and any support requests or feedback you send to us.
  • Billing information, which is collected and processed by our payment processor on our behalf. We do not store full payment card numbers on our systems.

Information we collect automatically:

  • Device and connection data, such as IP address, browser type, operating system, device identifiers, and language settings.
  • Usage data, such as the pages and features you view, the actions you take, the dates and times of your visits, and diagnostic information that helps us keep the Service reliable and secure.
  • Cookies and similar technologies, as described in the section on cookies and tracking below.

Information from third parties:

We may receive information from the organization that administers your account, from identity and authentication providers you use to sign in, and from integrations or data sources you choose to connect to the Service.

2. How We Use Information

We use the information we collect to:

  • provide, operate, maintain, and improve the Service;
  • generate the analysis, scores, summaries, and insights you and your organization ask us to produce;
  • create, secure, and manage accounts, and authenticate users who access the Service;
  • respond to your questions, provide customer support, and send you administrative messages about your account, security, and changes to the Service;
  • monitor and analyze usage and trends to understand how the Service is used and to develop new features;
  • detect, investigate, and prevent fraud, abuse, security incidents, and other harmful or unauthorized activity; and
  • comply with our legal obligations and enforce our agreements.

We do not sell your personal information, and we do not use the portfolio or operating data you provide to train publicly available or third-party general-purpose AI models. Where the Service uses artificial intelligence to produce analysis, it does so to serve your organization within your account.

3. How We Share and Disclose Information

We share information only as described in this Policy. We do not share your portfolio data with other customers. We may share information in the following circumstances:

  • Within your organization. Account administrators and other authorized members of your organization may have access to data and activity associated with your shared account, consistent with the roles and permissions configured for that account.
  • Service providers. We share information with trusted vendors who process data on our behalf, such as cloud hosting, storage, infrastructure, analytics, customer support, and payment processing providers. These providers are bound by confidentiality and data protection obligations and may use the information only to perform services for us.
  • Legal and safety reasons. We may disclose information when we believe in good faith that doing so is required by law, legal process, or government request, or is necessary to protect the rights, property, or safety of HousrAI, our customers, or the public.
  • Business transfers. If HousrAI is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to the commitments in this Policy.
  • With your direction. We may share information with third parties when you or your organization direct us to do so, such as when you enable an integration.

4. Data Security

We use administrative, technical, and organizational safeguards designed to protect the information we hold. These measures include encryption of data in transit, access controls that limit who can reach customer data, segregation of each customer’s data, and monitoring intended to detect and respond to security events. We restrict access to personal and portfolio data to personnel who need it to operate the Service.

No method of transmission over the internet or method of electronic storage is completely secure. While we work hard to protect your information, we cannot guarantee its absolute security. You are responsible for keeping your account credentials confidential and for notifying us promptly if you believe your account has been compromised.

5. Data Retention

We retain information for as long as your account is active and for as long as needed to provide the Service, to comply with our legal obligations, to resolve disputes, and to enforce our agreements. The specific retention period depends on the type of information and the purpose for which it was collected.

When information is no longer required for these purposes, we take reasonable steps to delete it or to anonymize it so that it can no longer be associated with you. You or your organization may request the deletion of account information as described in the section on your rights and choices below, subject to any retention we are required or permitted to maintain by law.

6. Your Rights and Choices

Depending on where you live and the laws that apply to you, you may have the right to request access to the personal information we hold about you, to correct inaccurate information, to request that we delete your information, to export your information in a portable format, and to object to or restrict certain processing. You may also have the right to withdraw consent where our processing is based on consent.

Because much of the data in the Service is administered by the organization that owns your account, some requests may be handled by your account administrator or routed to them. To exercise any of these rights, or if you have questions about how your information is handled, contact us using the details in the contact section below. We will respond within a reasonable timeframe and in accordance with applicable law. We will not discriminate against you for exercising any of these rights.

7. Cookies and Tracking Technologies

We and our service providers use cookies and similar technologies, such as local storage and pixels, to operate the Service, remember your preferences, keep you signed in, maintain the security of your session, and understand how the Service is used. Some of these technologies are strictly necessary for the Service to function, while others help us measure and improve performance.

Most web browsers let you control cookies through their settings, including blocking or deleting them. If you disable cookies that are necessary for the Service, some features may not work properly. We do not respond to browser “Do Not Track” signals at this time, because no common standard for them has been adopted.

8. Children’s Privacy

The Service is intended for business use by professionals and is not directed to children. We do not knowingly collect personal information from anyone under the age of eighteen. If you believe that a child has provided us with personal information, please contact us and we will take steps to delete that information.

9. International Data Transfers

We are based in the United States, and the information we collect is processed and stored in the United States and in other locations where we or our service providers operate. If you access the Service from outside the United States, you understand that your information may be transferred to, stored in, and processed in a country whose data protection laws may differ from those of your own country. Where required, we take steps designed to ensure that your information receives an adequate level of protection.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice through the Service or by other means. Your continued use of the Service after an update takes effect means you accept the revised Policy.
